Clinical Administrative Assistant (CAA)

The Clinical Administrative Assistant (CAA) performs and coordinates Q-Trials’s administrative activities and stores, retrieves, and integrates information for dissemination to staff and clients, or according to requirements.

Job includes providing high-level administrative support to the CEO and Financial and Budget Administrator.

Primary duties and responsibilities:
  • Information and communication assistant for the office
  • Plan and schedule meetings and appointments
  • Organize and maintain paper and electronic files
  • Distribute information by telephone, mail services, Web sites and email, also handles
  • Travel and guest arrangements
  • Negotiate with local suppliers and service providers
  • Organize Couriers
  • Retrieve data from various sources
  • Support members of the staff
  • Provide training and orientation for new staff members
  • Back office for the office personnel
  • Facilitate and follow-up on meetings and important decisions in general
  • Good calculation abilities, support to invoicing, billing, payroll calculations
  • Perform translations and verifications of documents
  • Maintain company tracking tools and table spreadsheets
  • Perform additional duties and assignments as requested
Education requirements:

Higher Education (diploma/BA)

Experience and skills:
  • Four (4) to seven (7) years previous experience as Administrative Assistant in a medium / large Company
  • Excellent computer skills including MS Word, Excel, PowerPoint, MS Outlook and some knowledge related to MS Project Timeline
  • Touch-type
  • Ability to work independently as well as part of a project team
  • Ability to handle and prioritize multiple tasks in a fast-paced work environment
  • Ability to build effective relationships with vendors and colleagues
  • Task oriented
